Know Before You Go

Practical guidance to read before travelling: safety preparation, how coach seat rotation works, and how luggage handling runs during the tour.

Trafalgar travel safety and document security

Before the tour begins, take a few minutes to prepare copies of the documents and cards you may need if something is misplaced while travelling.

These small steps make it much easier to solve problems quickly and keep the journey running smoothly.

Pre-trip preparation

  • Take clear photos of your passport, the front and back of your credit or debit cards, and any important travel documents.
  • Email the photos to yourself or save them in a secure cloud folder so you can access them if needed.
  • Keep a backup payment option in Apple Pay or Google Pay where possible.
  • Store sensitive files securely using your phone passcode, a password manager, or encrypted storage.

Important note

Please keep a clear photo of your passport in a convenient location on your phone. It can help with VAT refund forms, hotel requirements, and emergency situations.

Try to do this before arriving for the start of the trip. It only takes a few minutes and can save a lot of stress later.

During the trip

  • Keep bags in front of you, especially in crowded areas and around stations.
  • Never leave belongings unattended, even briefly.
  • Use the hotel safe for valuables and documents whenever one is available.

Daily Seat Rotation


To ensure that everyone has the opportunity to enjoy different views and interact with new friends, we will be implementing a daily seat rotation on our coach.

This is the type of seating plan guests may receive during the tour. Find your name, remember that the front of the coach is at the bottom of the page, then count rows from your side of the coach.

How it works

  1. Each evening or morning, the seating plan for the following travel day is sent via the tour WhatsApp community.
  2. To find your allocated seat, look for your name on the list. Please do not look for numbers on the coach.
  3. The list is arranged with the front of the coach at the bottom of the sheet.
  4. Once you find your name, count the rows in from the side you are on: driver side or Travel Director side.

Reminder

  • Please review the seating plan each day before boarding.
  • If anything is unclear, ask before the coach departs.
  • The plan is designed to give everyone a fair and comfortable experience.

Luggage Handling


Please take a moment to read the information below so luggage handling runs smoothly for everyone throughout the trip.

Luggage-out time

Luggage-out time is shared in the daily reminders. At that time, place one suitcase per person outside your room with the red tag clearly attached.

Attach the red Trafalgar luggage tag to the top handle of your suitcase. Make sure it is visible and securely fastened.

Carry-ons on the coach

If a carry-on is too large to fit under your seat or overhead, place it in the luggage compartment between the two coach doors when boarding.

Arrival at hotels

Take all hand luggage, handbags, valuables, and essentials off the coach with you. Your tagged suitcase is usually delivered to your room within about one hour.

No extra items attached

Please do not attach loose items to your suitcase. Hand luggage, tote bags, shopping bags, pillows, cushions, and other loose items cannot be transported with your tagged bag.
